Privacy Policy

1. Who we are

Acotiza CITAS is appointment software for beauty, wellness, and fitness businesses. The Service is operated by Acotiza LLC, located at 701 Brickell Avenue, Miami FL 33131, United States.

For privacy questions, contact us at support@citas.acotiza.com or (484) 285-4480.

2. Information we collect

Depending on how you use the Service, we may collect:

• Staff and client information entered by salon users: names, contact details, appointment history, notes, preferences, and related records.
• Payment information processed by our payment providers (such as Stripe); we do not store full card numbers on our servers.
• Usage and technical data: IP address, browser type, device information, pages visited, approximate location, and log data.
• Communications: messages you send through contact forms, support channels, or email.

3. How we use information

We use personal information to:

• Provide, operate, secure, and improve the Service.
• Create and manage salon accounts, subscriptions, and trials.
• Process bookings, calendars, client portals, and salon public websites.
• Process payments, invoices, and related billing events.
• Send transactional notices (account, security, billing, appointment-related messages).
• Respond to support requests and communicate about the Service.
• Comply with legal obligations and enforce our Terms and Conditions.
• Analyze aggregated usage to improve product performance and reliability.

4. Role of salon businesses (controllers)

When a salon or business customer uses Acotiza CITAS to manage staff or clients, that business typically decides what client data to collect and how to use it. In those cases, the salon is responsible for providing appropriate notices to its clients and for lawful processing of their data.

Acotiza processes that data to provide the Service to the salon under our agreement with them. Salons should not upload sensitive information unless it is necessary for their services and permitted by applicable law.

5. Sharing of information

We do not sell personal information. We may share information with:

• Service providers that help us host, secure, send email/SMS, process payments, analyze usage, or provide customer support.
• Payment processors such as Stripe to complete subscription or appointment-related payments.
• Professional advisors, auditors, or authorities when required by law or to protect rights, safety, and security.
• A successor entity in connection with a merger, acquisition, or sale of assets, subject to appropriate safeguards.

Salon public websites and booking flows may display business contact details and appointment-related information as configured by each salon.

6. Cookies and similar technologies

We use cookies and similar technologies that are necessary for authentication, security, preferences (such as theme), and basic analytics. You can control cookies through your browser settings, but disabling some cookies may affect Service functionality.

7. Data retention

We retain personal information for as long as needed to provide the Service, fulfill billing and legal obligations, resolve disputes, and enforce agreements. Salon customers may request deletion of their account data subject to legal and operational requirements. Residual copies may remain in backups for a limited period.

8. Security

We implement administrative, technical, and organizational measures designed to protect personal information. No method of transmission or storage is completely secure; we cannot guarantee absolute security.

9. International transfers

Acotiza LLC is based in the United States. If you access the Service from outside the U.S., your information may be processed in the United States or other countries where we or our providers operate. Those countries may have different data-protection laws than your jurisdiction.

10. Your choices and rights

Depending on applicable law, you may have rights to access, correct, update, delete, or restrict certain personal information, or to object to certain processing. Salon clients should typically contact the salon that collected their data. Account holders and privacy inquiries may contact support@citas.acotiza.com.
